ROOM & EQUIPMENT RESERVATIONS POLICY

'October 14, 2026

The library offers reservable rooms and equipment on a first-come, first-served basis, per the guidelines outlined below, with the intent to make them as equitably available as possible.

The fact that a group is permitted to meet in the library does not in any way constitute an endorsement of the group's policies or beliefs.

Library staff are the final arbiter regarding the daily application of this policy.

Reserving Rooms and Equipment

  • Rooms and equipment may be reserved during the hours the library is open to the public.
  • Study rooms, the Media Studio, the microfilm machine, and the Local History Room equipment may each be reserved up to two hours per day.
  • After completing a previous reservation, staff may extend it up to an additional two hours at a time when no other conflicts exist.
  • All fees related to reservations, including those for meetings not open to the public, are described in the Lending and Fees Policy.

Room and Equipment Use

  • All library policies and room capacities must be adhered to.
  • Groups may only display signs and publications inside of meeting or study rooms.
  • The group or individual using the room is responsible for all setup and cleanup, which must be completed within the reserved time.
  • Damage to the premises, equipment or furnishings will be charged to the group or individual responsible.
  • A no-show occurs when the reserving party fails to appear within 15 minutes of their reservation time. Staff may cancel the reservation to make the resource available for others.

The library reserves the right to:

  • Attend any reservation to ensure that no unlawful activities or policy violations are occurring.
  • Deny a reservation if the room or equipment is needed for library or civic purposes.
  • Limit the frequency of reservations by any one group or individual.
  • Temporarily revoke permission to use these resources based on violation of policy, including three or more no-shows in any one-year period.
